FurGroove respects your privacy. This Privacy Policy explains how we collect, use, share, retain and protect personal data when you visit furgroove.club, purchase a ticket, become a member, place an order, contact us or participate in a FurGroove activity.
1. Who is responsible for your data?
FurGroove is the controller responsible for the processing of personal data described in this Privacy Policy.

2. Personal data we process
The personal data we process depends on how you interact with FurGroove. This may include:
- first name and last name;
- nickname or display name;
- email address and other contact details;
- address details;
- payment and transaction information;
- IBAN and account holder name when automatic direct debit is used for membership fees;
- ticket and event participation information;
- information you voluntarily provide when registering for an event;
- order, billing and delivery information for webshop purchases;
- messages and other information you send to us;
- photographs in which you are identifiable; and
- technical information such as IP address, browser information, device information, server logs and cookie preferences.
We aim to collect only the personal data that is necessary for the relevant purpose. Where information is optional, this will normally be indicated when it is requested.
3. Event tickets and Stager
We use Stager for the sale and management of tickets for FurGroove events.
When you purchase a ticket, we require your first name, last name and email address, together with information necessary to process your payment and payment method. Your email address is used to deliver your ticket and, where necessary, to communicate with you about your purchase or the relevant event.
We may ask additional questions during event registration. Unless clearly indicated otherwise, these questions are optional.
We process the required ticket information because it is necessary to enter into and perform our agreement with you. This includes processing your purchase, issuing and validating your ticket and handling questions, refunds or other matters relating to your purchase.
Stager B.V. provides the ticketing platform and processes relevant personal data on our behalf. Electronic payments through Stager are handled using Stager’s payment infrastructure and payment service provider.
We normally retain identifiable ticket and visitor information for up to two years after the relevant event. Specific information may be retained for longer where necessary for an outstanding payment, refund, dispute, legal claim or legal obligation. Information that forms part of our financial administration may also be subject to a longer statutory retention period.
4. Membership
If you become a member of FurGroove, we process information necessary to administer your membership.
- first name and last name;
- address details;
- email address; and
- where applicable, IBAN and account holder name when automatic direct debit is used.
We use this information to administer your membership, communicate with you, collect membership fees and maintain our financial administration.
Our membership and financial administration is maintained using e-Boekhouden.nl. Personal data entered into this service is processed on our behalf for these purposes.
Personal data that is required solely for membership administration is normally removed no later than six months after your membership ends.
Information that forms part of records which FurGroove is legally required to retain, such as invoices and relevant payment records, may be retained for a longer period.
5. Financial administration
We process invoice, payment and transaction information where necessary to maintain our financial administration and comply with applicable tax and accounting obligations.
Relevant financial records are generally retained for seven years where this is required under Dutch fiscal record-keeping obligations.
This means that financial information relating to a former member, ticket buyer or webshop customer may remain in our financial administration after other personal data has been removed.
6. Webshop and Payments
When you place an order in the FurGroove online store, we may process your name, contact details, billing and delivery address, products ordered, payment and transaction status and other information necessary to process and deliver your order.
We process this information because it is necessary to enter into and perform our agreement with you and, where applicable, to comply with our legal and financial obligations.
We use WooCommerce for webshop functionality and Mollie for payment processing. FurGroove does not receive or store your complete payment-card details.
For made-to-order products fulfilled by Printful, the information necessary to produce and deliver your order is shared with Printful. This may include your name, delivery address and relevant order information.
7. Contacting FurGroove
When you contact FurGroove by email, through a contact form or through another contact channel, we process the information you provide to us. This will usually include your name or nickname, email address, the contents of your message and any other information you choose to provide.
We use this information to respond to your request. Depending on the nature of your request, this processing may be based on our legitimate interest in communicating with our community or on steps taken at your request before entering into an agreement.
We normally retain ordinary correspondence for no longer than two years after the last relevant contact, unless it remains necessary for an ongoing matter, agreement, dispute or legal obligation.
8. Events and Operational Records
We may process limited personal information where this is reasonably necessary to safely and effectively organise a FurGroove event.
For example, an operational first-aid registration may contain a nickname and, where necessary, a first and last name. FurGroove does not normally record medical information as part of this operational registration.
These limited first-aid records are normally removed within six months after the relevant event, unless information relating to a particular incident must reasonably be retained for longer, for example because the incident has not yet been resolved or a legal claim is involved.
If our first-aid or incident-registration practices change in a way that involves the systematic processing of health information, we will reassess that processing and update our privacy information where necessary.
9. Photography at our events
FurGroove crew photographers may take photographs during our events to document FurGroove activities, preserve our event history and share an impression of our events with our community.
Our photographers primarily take general atmosphere and overview photographs. Individual or posed photographs are normally taken when visitors actively pose for or request them.
Visitors are informed through our event rules that photography may take place. If you do not wish to be photographed, you can tell one of our photographers. We ask our photographers to respect such requests.
Where visitors are identifiable in event photographs, FurGroove relies on its legitimate interests in documenting and communicating about FurGroove and its activities. We take the privacy interests and reasonable expectations of our visitors into account and use measures intended to limit unnecessary impact on their privacy.
Selected photographs may be published in the FurGroove photo gallery on our website. Photographs that are not selected after editing are deleted.
Published photographs may be retained as part of FurGroove’s event history for as long as they continue to serve that purpose.
If you are identifiable in a photograph published by FurGroove and would like it removed, please contact info@furgroove.club and, where possible, identify the photograph concerned. FurGroove’s practice is to remove such a photograph from its gallery as soon as reasonably possible after receiving the request.
10. Website, cookies and external content
We process limited technical information necessary to operate, secure and maintain our website. This may include IP addresses, browser or device information and server logs.
We use Complianz to manage cookie and consent preferences.
Our website uses necessary cookies and may use optional cookies or similar technologies. Where consent is required, optional content or technologies are not loaded until the appropriate consent has been given.
Some event pages contain interactive maps using OpenStreetMap. Loading such a map requires a connection to an external OpenStreetMap service, which may receive technical information such as your IP address. Where applicable, this external content is blocked until you choose to allow it.

11. Service providers and sharing of personal data
We do not sell your personal data.
We use service providers where necessary to operate FurGroove, our website and our activities. Depending on how you interact with us, these may include:
Stager B.V. for event ticketing and registration;
e-Boekhouden.nl for membership and financial administration;
Mollie for webshop payment processing;
Printful for production and fulfilment of applicable webshop orders;
WordPress and WooCommerce for website and webshop functionality;
Complianz for cookie and consent management;
hosting, email, IT and technical service providers; and
other suppliers where their services are necessary to provide a service you have requested.
These providers receive only the information reasonably necessary for their role and, where they process personal data on our behalf, we require appropriate data-protection arrangements.
We may also disclose personal data where required by law, a competent authority or where reasonably necessary to establish, exercise or defend legal claims.
12. Processing outside the European Economic Area
Some service providers may use infrastructure or subprocessors located outside the European Economic Area (EEA).
Where personal data is transferred outside the EEA and the receiving country does not benefit from an applicable adequacy decision, we require appropriate safeguards where required by data-protection law, such as the European Commission’s Standard Contractual Clauses.
13. How long we keep personal data
We do not keep personal data for longer than reasonably necessary for the purpose for which it was collected, unless a longer period is required by law or is necessary in connection with an ongoing matter, dispute or legal claim.
Our normal retention periods include:
Ticket and visitor information: up to 2 years after the relevant event;
Membership information: normally no later than 6 months after membership ends, except where information must be retained for another purpose;
Financial records: generally 7 years where subject to statutory record-keeping requirements;
Ordinary correspondence: normally up to 2 years after the last relevant contact;
Limited operational first-aid registration: normally up to 6 months after the relevant event;
Event photographs: for as long as they continue to serve their documentation or publication purpose, subject to applicable privacy rights; and
Cookie and consent information: according to the periods specified in our Cookie Policy.
When information is no longer required, we delete or anonymise it where reasonably possible.
14. Your Privacy Rights
Subject to applicable data-protection law, you may have the right to:
- request access to the personal data we hold about you;
- ask us to correct inaccurate or incomplete personal data;
- ask us to delete your personal data in certain circumstances;
- ask us to restrict certain processing;
- object to processing based on legitimate interests;
- withdraw your consent at any time where processing is based on consent; and
- receive or transfer certain personal data where the right to data portability applies.

15. Security
We take appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure and unauthorised access.
Access to systems containing personal data is limited according to operational need and we use appropriate technical measures to protect our systems and data.
No online or electronic system can guarantee absolute security. We therefore review our measures and practices where appropriate.
16. Automated decision-making
FurGroove does not use your personal data to make decisions based solely on automated processing, including profiling, that produce legal effects or similarly significant effects on you.
17. Changes to this Privacy Policy
We may update this Privacy Policy when our activities, systems, service providers or legal obligations change. The latest version will always be published on this page. The date at the top indicates when this Privacy Policy was last updated.
